PROCUREMENT OFFICER – HEAD OFFICE (MIDRAND)
Job Purpose:
The position of a Procurement Officer is required for the National Bargaining Council for the Private Security Sector (“NBCPSS”) in terms of its establishment Section 29(15)(a) of the Labour Relations Act as amended.
The purpose of the role is to assist the management and administration in the procurement department of the Council. He/she will also be responsible for ensuring that approved purchases are of a sufficient quality and are cost-efficient and to procure quality suppliers that provide quality services and products at the best prices in line with the needs of internal customers and within a well governed supply chain environment.
Requirements
- The Minimum of an appropriate Grade 12 certificate and/or equivalent.
- A three-year Degree/ National Diploma or equivalent qualification in Procurement Management, Supply Chain Management, Facilities Management, Purchasing, Logistics or Finance.
- 1 – 2 years’ work experience in procurement administration.

Duties and Responsibilities
- Assist with procurement administrative needs for NBCPSS Head Office and 9 Regional office.
- Assist with arranging travel bookings for NBCPSS staff when the need arises.
- Assist in with couriers of enforcement files, Dispute Resolution and office supplies.
- Assists the regional office with water order.
- Track and monitor stationery and grocery order status, ensuring timely delivery and resolving any issues that arise.
- Request and compile quotations in line with procurement policy.
- Sourcing of new suppliers in line with procurement strategy and maintain supplier records.
- Supplier negotiations where you will negotiate price discounts, reduced lead-times, maintain savings register and maintain a good relationship with the suppliers.
- Update and maintain assets register; this involves receiving all assets and equipment purchased, tagging the equipment, updating the records in the register, and forwarding tagged and ensuring all assets in the hands of employees are registered.
- Assist in any IT and building maintenance related matters for the office.
- Management of supplier database i.e. loading new suppliers on database; rate non perfuming suppliers on database.
- Updating of supplier information i.e. BBEEE certificate, Tax pin, and upload on Fraxion System.
- Assist with internal NBCPSS staff with Fraxion queries, requests.
- Arrange for all supplier payments ensuring compliance with procurement procedures to be fair and transparent and invoices included for payment at month end.
- Maintain procurement templates and ensure best practices are known and used throughout the program, keeping up to date with NBCPSS procurement policies.
- Assist with procurement filing.
- Manage and update the device issue files and register on an excel spreadsheet.
- Assisting users with cell phone upgrades and other related queries.
- Maintain professional relationship with Internal and External stakeholders with Procurement related queries and keep open communication with all relevant Departments.
- Contribute to process improvement within the procurement function and support compliance with audit and policy requirements.
Remuneration Grade: Market related
